Booking Conditions
The following booking conditions form the basis of your agreement with Heliotrope Travel. Please thoroughly review them before submitting a booking request as they outline our respective rights and responsibilities. By making a booking request, you acknowledge that you have read and understood the Booking Conditions, along with the specific day-to-day requirements of your selected tour, and agree to be bound by them.

BOOKING DETAILS AND PRICES

Upon receiving your confirmation invoice, please carefully review it, and promptly notify us in writing if any information appears inaccurate or incomplete. Passenger names must be provided exactly as per passport, including middle names, at the time of booking.
While we will endeavor to rectify any mistake notified to us, you will be responsible for any associated fees, such as airline reissue fees.

Prices and services are subject to the availability of tours, airlines, cruises, and accommodations. The most current pricing is reflected in the total price quoted to you at the time of booking and may vary depending on when we receive your deposit to reserve the services.

CANCELLATION
​
Cancellations must be submitted in writing to Heliotrope Travel and may incur cancellation charges depending on the date the written cancellation is received. Additional charges will be imposed for air/rail/cruise tickets as referred to below.

Refund Policy

For package tours:

More than 14 days prior to departure: full (100%) refund of total tour cost

Between 3 and 13 days prior to departure: 50% refund of total tour cost

3 days or less prior to departure: no refund

Any “no show”: no refund
For daily tours:

More than 3 days prior to departure: full (100%) refund of total tour cost

3 days or less prior to departure: no refund

Any “no show”: no refund

If airline, cruise and rail tickets have been issued, the rules of the fare will determine cancellation and/or amendment charges. It is often the case that the air, cruise and rail tickets are non-refundable.

Tours may have different cancellation policies, which will be communicated in writing at the time of booking.
PAYMENTS

For package tours:

Deposit: 30% due after booking

Full payment required 1 week before departure date

Please note that we cannot hold any services for you until we have received payment of your deposit, which means services may become unavailable or prices may increase. We will not be responsible if services become available, and you will be responsible for paying the increased price
For short day tours:

Invoice for full payment will be issued upon booking

Full payment must be received at least 3 days before departure date to secure your reservation.
Card Processing Fee
A surcharge is applicable when paying with a credit card. We offer multiple payment gateways with card surcharges ranging from 3% of the total amount per transaction. No surcharge applies to bank transfers. Payment plans are also available.
ILLNESS PREVENTING TRAVEL
In the event of illness where you can provide a doctor’s letter confirming your inability to commence or continue your trip, we will make every effort to cancel your bookings and recover some of the costs. However, we cannot guarantee a refund of the trip cost (or any portion thereof) as we would have already paid (or committed to pay) suppliers and performed significant work preparing for the delivery of your trip.
